Create a Client Profile

A lead that arrives through the website usually gets a client record on its own: the visitor’s browsing session converts, and the client is created and linked at the moment the form is submitted. A lead you type in yourself (a walk-in, a phone call, a referral) has no session, so nothing creates that record for it. This page is about that second kind.

Create the client profile once you know you will keep working the lead beyond the first conversation. The client record is where favorites, tour requests, and contact history for a real person live; the lead is the inquiry that started it. If you are about to schedule a showing, save properties on their behalf, or hand the person to a teammate, do this first.

You do not need to do it for every inquiry. A lead you expect to archive or trash after one call can stay a lead.

  1. Open the lead’s detail page.
  2. Find the Client Profile card in the right column. On a lead with no client it explains what the button does.
  3. Click Create client profile.

That is the whole flow. There is no form: the client is built from what the lead already carries.

  • A client record at your brokerage, of type person, with the lead’s name as the display name, assigned to the same agent as the lead.
  • A primary contact on that client with the lead’s name, email, and phone.
  • The right interest type: leads whose subject is selling or valuation become sellers; everything else becomes a buyer.
  • A starting status that matches where the lead already is. A lead in QUALIFIED starts as a searching buyer, not as a fresh one.
  • A Client profile created row on the timeline, with you as the actor.

If a client with the same email already exists at your brokerage, the lead is linked to that client instead and nothing is duplicated. The confirmation message tells you which happened.

The card then switches to View Client Profile, which opens the client record.

Stage changes on the lead reach the client through the link. Confirming motivation moves the client to searching; a signed buyer agreement moves it to offer pending; a contract to under contract; a closing to closed. Logging a contact attempt updates the client’s last-contact time. You keep working the lead page as before and the client record follows.
